How does the virtual office service work?

Our virtual office service provides you with a professional Stoke-on-Trent business address that you can use for your company registration, website, and correspondence.

Here's how it works:

  1. Register and verify your identity (photo ID + proof of address)
  2. Subscribe for £29.95/month via secure Stripe payment
  3. Receive your unique QR code for mail collection
  4. We receive and store your business mail securely
  5. Collect your mail anytime during opening hours using your QR code

Mail Collection

How do I collect my post for the first time?

Collecting your post is easy! Here's what you need:

  • Your QR code (available in your dashboard or from the welcome email)
  • Valid photo ID (driver's license or passport)
  • Visit us during opening hours (see below)

Simply show your QR code at reception, verify your ID, sign for your mail, and you're done! For detailed step-by-step instructions, see our First Collection Guide.

What ID do I need to bring for mail collection?

You'll need to bring one of the following valid photo IDs:

  • UK driver's license (photocard)
  • Passport (UK or international)
  • National identity card (EU/EEA)

For your first collection, we'll verify your ID matches our records. Subsequent collections are quick and easy with just your QR code.

When are you open for mail collection?

Collection Hours:

  • Monday:12:00 PM - 1:00 PM
  • Tuesday - Sunday:Closed
  • Bank Holidays:Closed

⚠️ Collections are available Monday only, 12:00 PM - 1:00 PM. Please plan your collection accordingly.

How do I use my QR code?

Your QR code is your unique identifier for mail collection:

  • Access it anytime from your dashboard
  • Save it on your phone or print a physical copy
  • Show it to our staff when collecting mail
  • We scan it to instantly verify your identity and log the collection

You'll receive your QR code via email after subscribing and can always access it from your online dashboard.

Can I authorize someone else to collect my mail?

Yes! You can authorize another person to collect mail on your behalf by sharing your QR code with them.

Important:

  • They must bring their own valid photo ID
  • They'll need to show your QR code
  • All collections are logged with digital signatures for security
  • You'll receive email notifications when mail is collected

We recommend only sharing your QR code with trusted individuals, as it provides access to your business mail.

What happens to my mail when I'm away?

We securely store all your mail in our facility until you collect it. There's no time limit on collection - we'll hold your mail for as long as you have an active subscription. You'll receive email notifications when mail arrives, and you can collect it whenever it's convenient for you during our opening hours.

Do you handle parcels and registered mail?

Yes, we accept and securely store parcels and registered mail on your behalf. All items are logged in our system and you'll be notified via email when they arrive.

Note: Very large parcels may require collection within a reasonable timeframe due to storage space limitations. We'll contact you if this applies.

Account & Setup

How long does setup take?

Setup is instant! Once you register, verify your email, complete identity verification (via Stripe Identity), and subscribe, you'll immediately receive your QR code and can start using our address. The entire process typically takes 5-10 minutes.

What documents do I need to provide?

For AML (Anti-Money Laundering) compliance, we require:

  • Photo ID: Driver's license, passport, or national ID card
  • Proof of address: Utility bill, bank statement, or council tax bill (within last 3 months)

These documents are uploaded during registration and verified through Stripe Identity for your security.

Billing & Subscription

How much does the service cost?

Our pricing is simple and transparent:

  • £29.95/month subscription
  • £2.00 one-time Stripe Identity verification fee
  • No hidden fees or additional charges

Your subscription includes unlimited mail collection, QR code access, online dashboard, and email notifications.

How do I cancel my subscription?

You can cancel anytime:

  1. Log into your dashboard
  2. Go to Billing/Subscription settings
  3. Click "Manage Subscription"
  4. Select "Cancel Subscription"

Important: No pro-rata refunds are provided. Your service will continue until the end of your current billing period after cancellation. Please collect any outstanding mail before your subscription ends.

What payment methods do you accept?

We use Stripe for secure payment processing. You can pay with any major credit or debit card (Visa, Mastercard, American Express). All payments are encrypted and PCI-compliant.

When will I be charged?

You'll be charged £29.95 on the day you subscribe, then automatically on the same day each month. You'll receive an invoice via email after each successful payment. You can view all your invoices in your dashboard under Billing.

What happens if my payment fails?

If a payment fails, we'll notify you via email and attempt to charge your card again. If payment continues to fail:

  • Your access to collect mail will be suspended after 7 days
  • Mail will be held for up to 30 days while your account is inactive
  • After 30 days, your subscription will be cancelled

Update your payment method in your dashboard to restore access immediately.

General

Is my business address legally valid?

Yes! Our virtual office address is a legitimate business address that can be used for:

  • Companies House registration
  • Business website and marketing materials
  • Mail and correspondence
  • HMRC correspondence

Note: You cannot use it as your personal residential address for legal purposes.

Can I use this address for my limited company registration?

Yes! Our address can be used as your registered office address when setting up a limited company with Companies House. Many of our customers use our service for exactly this purpose.

Is my data secure?

Absolutely. We take data security very seriously:

  • All data is encrypted (SSL/TLS)
  • Identity verification via Stripe Identity (PCI-compliant)
  • Secure document storage (Vercel Blob)
  • AML compliance procedures
  • GDPR compliant data handling

Do you provide mail forwarding?

Currently, we offer mail collection only. Mail is securely stored at our facility for you to collect in person using your QR code. We may add mail forwarding/scanning services in the future based on customer demand.

Can I have multiple people on one account?

Each subscription is for one individual or business. However, you can share your QR code with authorized individuals (employees, family members, etc.) to collect mail on your behalf. All authorized collectors must bring valid photo ID.
